Privacy Policy

Purpose

At Alzheimer’s & Dementia Support Services people living with dementia are at the heart of every decision we make and action we take, for that reason we will ensure their personal data is protected and is collected in a transparent and respectful way. We will ensure we comply with the Data Protection Act 2018 and the General Data Protection Regulation and to do that we must clearly state why we are using your personal data, how we will keep it safe and what your rights are.

Why we are processing your data

The personal data we collect will be used for the following purposes:

  • Supporting, assessing and delivering services to people affected by dementia
  • Fundraising and Marketing
  • Employment of Staff
  • Volunteering
  • Membership

Our lawful basis for collecting personal data will depend on what reason we have for working with you but will be due to one or more of the following:

  • Legitimate interests – Alzheimer’s & Dementia Support Services is a charity that provides support and services to people affected by dementia. We will need to process data about the people who use our services or are referred to our services. We will also have a legitimate interest to process data about our employees, volunteers, supporters and members to pursue our charitable aims.
  • Consent – if you are a supporter or member of ours we will ask for your consent to process your data
  • Contract – some of the services we provide require you to sign a contract with us and if you work for us you will sign a contract
  • Legal Obligation – in some situations we have a legal obligation to process your data, this may be to check our employees or volunteer’s suitability to work with us or to report to the relevant authorities if we think someone is at risk of harm.

The special category data we will collect will vary according to why we are working with you, but to enable us to fully support people affected by dementia we will have reasons to ask about and record information about health, race, ethnic origin, religion, and sexual orientation/ identity. We will never make assumptions or judgements about the information you give us, and it will inform the support and care we give to you and to ensure our processes and practices are fair.

We have systems and procedures in place to ensure the data we process is kept safe. We will keep your data for the duration of the time you are being supported, employed, volunteering or one of our members or supporters plus a specified amount of time, as stated in our retention policy.

Your rights

Under the Data Protection Act 2018 and General Data Protection Regulation you have rights about what people can do with your personal data. Some of these rights are dependant on why we have your personal details so some or all of the following rights will apply.

  • The right to be informed – we must tell you what data we will collect, that is why we have this Privacy Notice.
  • The right of access – you have the right to see the information that is held about you.
  • The right to rectification – we must rectify inaccurate personal data or complete anything incomplete.
  • The right to erasure – in certain situations you have the right to be forgotten.
  • The right to restrict processing – you may have the right to stop us from using your data, if certain circumstances apply.
  • The right to object – you have the right to object to your data being used for direct marketing and for some other purposes.

In some circumstances it may not be possible for us to support you if you object to us processing your data. You are not required to pay any charge for exercising your rights. We have one month to respond to you.
